You know you should delegate. Everyone says it’s the key to scaling your business, buying back your time, and stepping fully into your CEO role.
But let’s be honest delegation can be frustrating. Maybe you’ve tried handing off tasks only to have them returned late, done poorly, or not completed at all. And when that happens, it’s easy to fall into the trap of thinking, “I should’ve just done it myself.”
The problem isn’t always your team. It’s often how the delegation happens.
If you’ve ever struggled to delegate effectively or if you’re about to bring on support for the first time this post is for you. I’m going to walk you through 7 steps for effective delegation so you can start handing off work with confidence and actually see the results you want.
Let’s talk about how to delegate the right way, so you can get more done without doing it all yourself.
Why Delegation Matters: 3 Key Benefits
Before we dive into the how, let’s talk about the why. Effective delegation isn’t just about getting tasks off your plate. It’s a strategic move that benefits you and your business in three major ways:
1. Time Freedom
Every minute you spend on tasks someone else could handle is time you’re not using for CEO-level work. Delegating frees you up to focus on strategy, visibility, and revenue-generating activities.
2. Time Savings
Believe it or not, someone else might be able to do certain things faster and better than you. Whether it’s scheduling emails, managing your calendar, or editing a podcast episode, delegating to skilled team members saves serious time.
3. Forward Progress
You know those tasks that sit on your list for weeks? Delegating gets them moving. No more stalled projects or bottlenecks. When someone else can take the lead, progress happens even when you’re busy elsewhere.
Now that we’ve covered the benefits, let’s walk through the 7 steps that will make delegation actually work for you.
Step 1: Know What to Delegate
You can’t delegate what you haven’t identified.
Start by listing out the repetitive, recurring tasks in your business. Look closely at the tasks that:
- Take up a lot of your time
- Don’t directly generate revenue
- Drain your energy or bring zero joy
These are prime candidates for delegation.
Next, group similar tasks together. This will help you determine if you need one person (like a virtual assistant) or several specialists (e.g., a VA + social media manager).
🎯 Tip: Star the tasks that meet two or more of those criteria—these are your highest-priority items to delegate first.
Step 2: Prepare for Success
Hiring the right person is only half the equation. You need to set them up to succeed.
Start by creating clear instructions for each task. This could be a Google Doc with bullet-pointed steps, screenshots, or a Loom video walking them through the process. Over time, these evolve into standard operating procedures (SOPs).
Make sure you communicate not just how to do the task, but also what success looks like. Your team can’t meet your expectations if they don’t know what they are.
Step 3: Give Space to Own the Task
This one’s tough for recovering perfectionists: you have to let go.
Give your team the tools, instructions, and access they need, and then let them do the work. That means no hovering, no micromanaging, and no constantly jumping in to “fix it.”
When you trust your team and give them the space to take ownership, they often come up with better, more efficient ways of completing tasks. Remember you hired them for a reason. Let them shine.
Step 4: Establish Clear Checkpoints
While you don’t want to micromanage, you do want to check in at the right times.
Set expectations early on. For example:
- “Please leave emails in draft so I can review before they go out.”
- “Let me know when this task is ready for feedback.”
If the task is part of a larger project, schedule checkpoints at key points in the process (not just the end) so you can course correct if needed.
Step 5: Don’t Fix It Yourself
When something isn’t quite right, resist the urge to silently fix it.
Instead, take a moment to give feedback. Explain what you wanted, why it matters, and how they can improve it. This way, your team learns and gets it right next time. Thus, saving you time in the long run.
Think of it like parenting: correcting with guidance helps people grow. Quietly fixing mistakes just keeps you stuck doing all the work.
Step 6: Encourage Questions
Delegation isn’t “set it and forget it.”
Your team will have questions and more so in the beginning. Make it safe and easy for them to ask. That might mean:
- Creating a shared Slack channel
- Having weekly check-ins
- Keeping open office hours
Also, take note of the questions they ask. If something’s unclear, update your SOPs so future hires have better instructions from the start.
Step 7: Keep SOPs Updated
Your business is always evolving and so should your SOPs.
Think of them as living documents, not static files buried in a forgotten Google Drive folder. Encourage your team to update them as tasks or tools change. Even better make SOP reviews a recurring task for anyone who owns the process.
That way, if someone’s sick or on vacation, another team member can step in seamlessly.
Delegation Is a Skill And It Starts with You
Delegation isn’t a one-time event. It’s an ongoing process that gets better with practice.
By following these seven steps for effective delegation, you’re not just offloading tasks. You’re actually creating systems, empowering your team, and stepping into your role as a true CEO.
It takes effort upfront, yes. But the return? More time, better results, and a business that doesn’t rely on you doing everything yourself.
