Note, I said “appear” to have everything perfect, as we are all human and far from perfect!
In fact, many successful entrepreneurs are not naturally organized. They’ve simply figured out how to work with their strengths, rather than forcing themselves into a rigid system that doesn’t fit.
Shift Your Focus from Perfection to Progress
One of the biggest mindset shifts you can make is, instead of thinking you need to “fix” your disorganization, asking yourself: *What simple processes can I create that help me stay focused on what really matters?* This is how to begin to organize a disorganized business, one step at a time.
Maybe you don’t need an elaborate project management tool with endless categories and tags. Perhaps a simple checklist in a notes app might do the job. The key is finding a method that’s functional, not flawless.
Do you feel overwhelmed by the newest and latest complex productivity apps? Perhaps you have to put blinders on those shiny objects and stick to the method that you know works for you…. a sticky note system on your desk. Every morning, you write down the top three tasks you needs to complete that day. That’s it—no apps, no automation, just a simple system that keeps you focused.
The result? You get more done now than you ever did when you were buried in task management software and hopping from one shiny object to another searching for the magic solution.
Systems Don’t Have to Be Complicated
When small business owners hear the word “systems,” they often picture something complex and intimidating—like a multi-layered CRM or intricate email automation sequences.
But systems are simply repeatable ways of doing things. They help us organize a disorganized business and can be as simple as setting up a weekly power hour where you put on your CEO hat or create a standard process for onboarding new clients.
The key is to make systems work for you, not the other way around.
Do you struggle with onboarding new clients? Do you find yourself constantly reinventing the wheel—sending different emails, asking for information at random times, and forgetting key steps?
To simplify, create a standard checklist for each new client: send welcome email, schedule kickoff call, share intake form. By following this simple system, you save time and provide a more professional experience for your clients.
Embrace Delegation to Compensate for Disorganization
If staying on top of everything isn’t your strong suit, delegation when done effectively can help. You don’t have to do it all yourself—and frankly, you shouldn’t.
Start by identifying tasks that drain your energy or consistently fall through the cracks. Could a virtual assistant handle your email inbox? Could a bookkeeper manage your finances?
