3 Simple Ways for Small Business Owners to Beat Overwhelm

Feeling constantly behind, pulled in too many directions, or unsure what to focus on next? You’re not alone. Overwhelm is one of the biggest barriers to success for small business owners—but it doesn’t have to be your default state.

In this post, I’m sharing a simple, battle-tested framework inspired by the U.S. Navy SEALs and the Department of Defense that will help you prioritize, manage your time, and regain control over your days.

Let’s break it down.

1. Use the “Essential, Critical, Desirable” Framework

This model helps you cut through the noise by assigning every task into one of three categories:

  • Essential: Must be done now. These are revenue-generating, client-facing, or deadline-driven tasks.
  • Critical: Important but not urgent. These support long-term growth—like planning, systems, or marketing strategy.
  • Desirable: Nice to do, but not necessary. These can often be delayed, delegated, or even deleted.

When everything feels urgent, this framework forces you to slow down and prioritize with intention.

Tip: Look at your to-do list today and recategorize it using these three buckets. You might be surprised what you can postpone or drop entirely.

2. Choose One Time Management Technique That Works for You

Once you know what matters most, it’s time to protect your focus. A few proven methods include:

  • Time Blocking: Schedule time on your calendar for deep work sessions. No multitasking.
  • The Pomodoro Technique: Work in focused 25-minute sprints followed by a 5-minute break.
  • Batching: Group similar tasks (like content creation, admin, or client calls) so your brain doesn’t need to context-switch.

The method doesn’t matter as much as consistency. Pick one, test it for a week, and track how you feel.

3. Reduce Friction, Not Just Tasks

Sometimes, overwhelm isn’t about the number of tasks—it’s about how hard they are to start.

Ask yourself:

  • Do I have clear next steps for each project?
  • Am I relying on memory instead of systems?
  • Is perfectionism slowing me down?

Small changes, like using checklists or prepping your workspace the night before, can make your day feel 10x lighter.
